Ok everyone. Here is the final draft of the guild charter. When we get a new motto I'll update it. But, this is the guild charter and it officially goes into effect as of now. Guild Meetings, dues, and the whole nine yards. So, I need everyone to read and post that you have read and understand the guild charter. If you disagree with anything in the guild charter then please post that instead of posting that you agree and understand it. We will work it out and go from there. (And if anyone wants a Word Document copy of this [the way I have it set up] then let me know and I'll send it to you...if I could figure out how to attach a document to this thing I would do that instead of copy and pasting it in here...but, c'est la vie)

Guild Charter: Mystical Knights


Goals
1) To help new members out with their quests and/or personal goals in the game, as well as helping them to grow in their unique class (or classes for multi-classed characters).
2) To help the guild grow and prosper.

Mystical Knights Guild Ranks and Prerequisites/Abilities

*Squire
-Member
-Can only view and participate in guild chat

*Knight
-Officer
-Can view and participate in guild chat. Can view and participate in Officer's Chat. A Knight can recruit new members.
-Alts of members will not be put in this rank automatically if their main is already a Knight. It will be on a case by case basis on the alt’s being put into this rank. There will be a note attached to the alts stating who they belong to.
-Cannot be promoted to this rank unless the person has registered on the forum site, read, AND signed the Charter under the DDO section of the site.

*Duke
-Trainer
-1 per class.
-Promoted to this rank after a Regent has recommended member to a High Counselor. Must have at least two (2) of the High Counselor's to second the recommendation and a majority vote in the High Counselor's Meeting.
-Can view and participate in guild chat. Can view and participate in Officer's Chat. A Duke can recruit new members.
-Minimum level 5 in the associated class.

*Regent
-Mentor
-1 per race
-Reports to High Counselor
-Promoted to this rank after a High Counselor has recommended member in a High Counselor's Meeting. A Regent must have the second of the Dragon Lord and a majority vote in the High Counselor's Meeting.
-Can view and participate in guild chat. Can view and participate in Officer's Chat. A Regent can recruit new members.
-Minimum level 7.

*High Counselor
-Reports to Dragon Lord
-Promoted to this rank if a High Counselor leaves. A High Counselor must recommend the member in the High Counselor's Meeting. A High Counselor must have the second of the Dragon Lord and a majority vote in the meeting.
-Can view and participate in guild chat. Can view and participate in Officer's Chat. A High Counselor can recruit new members.
-Minimum level 10 (if being promoted to this rank ONLY)

*Advisor
-Can ONLY be promoted to this rank at the Overlord and Dragon Lord’s discretion.
-Mainly for people that have run their own guild before and/or have made/given good advice to the Overlord.

*Dragon Lord
-Second in command/successor.
-Reports to the Overlord.
-Promoted to this rank ONLY if the current Dragon Lord steps down or leaves the guild. If the Dragon Lord steps down then he/she may recommend a replacement from any rank in the guild to the Overlord. If the Dragon Lord leaves the guild then one of the High Counselor's will be promoted to this rank at the discretion of the Overlord.
-Can view and participate in guild chat. Can view and participate in Officer's Chat. The Dragon Lord can recruit new members.
-Minimum level 12 (if being promoted to this rank ONLY)

*Overlord
-Leader of the guild
-ONLY the Dragon Lord may be promoted to this rank. The current Overlord must either step down or leave the guild. The new Overlord may then run the guild as they see fit.
-Minimum level 14 (if being promoted to this rank ONLY)


Mystical Knights Guild Rank Duties

The number one rule of this guild for everyone is to HAVE FUN while playing the game! If you’re not having fun then you’re breaking this rule and disciplinary actions will be taken! (btw, I am kidding on the disciplinary action part…but, I do want everyone to have fun while playing the game…that’s the point of DDO. To have fun. If you’re not having fun then you’re not doing something right and/or you’re taking the game too seriously and you need to take a break till you can stop doing so)

*Squire
-Register on the guild forum site at the first available opportunity (must post something in the Member section of the DDO part of the forum site…if something isn’t posted in the above named section then you are not considered registered [and telling the Overlord while in-game that you did so does not count either]).
-Participate in guild chat and on the guild forum site.
-Help other guild members when able.

*Officer Ranks (Knight and above)
-All members that have “Officer” by their name needs to help lower level/ranking members out whenever possible (i.e. answer questions or direct them to someone more qualified to do so, give aid in quests, etc).
-Participation in guild chat and the guild forum site.

*Duke
-A Duke is required to help anyone out in the guild that is associated with their class (i.e. the Duke for the clerics helps out any cleric with questions about the class and things like that).
-They should be knowledgeable in their class so when/if someone that is of that class comes to them with questions they will be able to answer to the best of their abilities or will know who the person can go find the answer from.

*Regent
-A Regent is required to help anyone out in the guild that is associated with their race (i.e. the Regent for the elves helps out any elf that may have questions).
-They should be knowledgeable in their race in the same way that the Duke is knowledgeable in their given class…and for the same reason.

*High Counselor
-The High Counselor’s are people in the guild that have shown that they are knowledgeable not only in the game but in their various classes/races.
-Must be willing to help out lower level/ranking members whenever someone calls for it (within reason…you don’t have to leave a quest half-done to go help someone).
-Acknowledges people when they speak in guild chat and/or call for help.
-Helps to set up guild events.
- (Optional) They put the guild before themselves more often than not.

*Advisors
-The Advisors are people in the guild that have shown that they have knowledge of the game and how to run a guild. They give the Dragon Lord/Overlord good advice on ways to improve the guild on a regular basis.
-They acknowledge when people speak in guild chat and/or call for help.
-They help to set up guild events, meetings, and help figure out new guild policies and whether or not a suggestion made by another member should be done.

*Dragon Lord
-The Dragon Lord takes over for the Overlord when they are not online.
-The Dragon Lord can promote and demote members, set the guild MoD (Message of the Day), recruit new members, and anything else the Overlord can do.

*Overlord
-Puts the guild before themselves more often than not.
-Helps out any member that calls for it to the best of their abilities (regardless of level).
-Looks out for their guild members.
-Makes hard decisions on a regular basis concerning issues within the guild, promotions, demotions, guild policies, guild vault, etc.
-Does a lot of things behind the scene to help the guild prosper and keep it organized (i.e. keeps track of who’s in what rank [since there are only 3 official ranks in the DDO system], who’s put what items/money in the guild vault, etc.)


Meetings

*Guild Meetings
-Guild meetings will be held once a month.
-This is where the members can state problems they are having with certain quests, people in the game, members of the guild, etc and receive the help and support of the entire guild.
-We will also go over any policy changes and promotions at this time.
-We will, also, go over upcoming guild events and/or raids that have been set up.

*Officer Meetings
-Officer meetings will be held once a month about 1 hour before the Guild Meeting.
-This is where the Officers can recommend a member for a promotion and explain why they feel the member is ready for it.
-We will also discuss certain things from the High Counselor's Meeting and different things that could be improved in the guild.
-This is also where Officers can express concern for members and possible solutions to different problems with members in the guild (i.e. if someone isn't helping others out when asked, etc).

*High Counselor/Advisor Meetings
-The High Counselor/Advisor meeting will be held once a month about 2 hours before the Guild Meeting.
-This is where the High Counselors and Advisors can recommend an Officer for a promotion and explain why they feel the Officer is ready for it. They can also recommend someone for a demotion so long as they can back up why they feel this way, have the Dragon Lord second the recommendation, and get a majority vote.
-We will also discuss possible policy changes.
-This is where High Counselors and Advisors can express concern for Officers and possible solutions to the problem.

Meetings are a chance to give EVERYONE in the guild a chance to voice their concerns and/or ideas for guild improvement. The meetings are not mandatory, however, if the guild members don’t attend and/or participate then they don’t have any right to complain about any changes that have or have not been made/put into effect.

Procedure for Changes in the Guild Policies
If someone wishes to see a change in the guild policies (something removed, edited, or added) they may put in a written request by any of the following ways:
*Go to the guild forum site and put a request in the “Guild Policy Change Request” section. The member must state the policy they wish changed, why they would like to see it changed, and any suggestions that might apply for the changes.
*Send Umzadi (preferred), Memmnon (secondary), or a High Counselor an in-game message with the above requested info (DO NOT send them a tell if they are online as they may forget to write it down…sending an in-game e-mail means that it is in the records and if you put in the in-game e-mail for them to write it down and they do not then it is on them). If you wish to make sure that the suggestion you are making be brought up in the next High Counselor’s meeting then sending to Umzadi, Memmnon, and at least one person in the High Counselor/Advisor rank is recommended…but, in no way required. The more people that know of the suggestion the more likely it will be written down and brought up in the next meeting.
*Send Umzadi an e-mail with the above requested information at the_angels_forgotten_rose@yahoo.com

If the person requesting the change is a member (and not an Officer), than the Officers will discuss it in the next Officer and/or High Counselor/Advisor meeting; if the person is in the Officer rank than we shall discuss it during one of the above mentioned meetings when they suggest it. If we accept your proposal for the changes you have suggested, then we shall inform the entire guild at the next Guild Meeting.


Trade within the Guild
At any time a member may request an item from another member. However, at no time may the member providing the item ask full price or more from the one asking for said item. The rarity of the item should determine how much is asked for, if anything. If it is an easy item to find, then the price should be a quarter of what it would cost the provider (or it should cost nothing). The rarer the item is to find then, of course, a small amount is ok to ask for. Only the rarest items should cost another guild member full price. We're not trying to overcharge our guild mates. I don't care what you charge non-guild members; however, the point of the guild is to help our members out. (If you needed a pack of smokes from a friend you wouldn't want them to charge you $6.00 for a pack that cost $3.00 would you? No, you'd either hope they would just buy them for you or not have to worry about paying them back or that they would just ask for you to do the same later on for them if the situation should arise. Same applies here.)


Guild Dues
A mandatory due of 10 platinum per character level will be required by ALL guild members (unless otherwise set up with Umzadi or Memmnon before the guild due is owed). If you have any questions about what you owe for the month please send Umzadi or Memmnon an in-game message. We will respond as soon as we can. Dues are to be sent via in-game mail to Vaulticus Maximus, and are due by 11:59pm of the last day of the month. These dues are to help the guild with helping new members get set up (i.e. equipment and things of that nature they may need), helping to fund guild events/raids (including, but not limited to, equipment repairs after guild events/raids), and anything else that might come available through the DDO game. If for some reason you are unable to pay the guild dues for any given month, please send Umzadi a message (in-game, personal e-mail, or via a tell) letting her know you are unable to make the guild due and/or why (she will be more willing to work with you if you can explain as to why you are unable to pay that month’s dues). Umzadi will work with you on the monthly dues so long as you send her a message! No message, no working with you, and disciplinary actions could be taken if you are a repeat offender and continue to miss guild dues without talking to Umzadi. You are allowed to pay more than one month at a time, however, if you are doing that then you must put that in the message when you send your guild dues in. The following information is needed when you send the guild dues:
1) The Subject line should read Guild Dues for <insert month here> (if you are sending more than one month in at a time then only put the next month name in…i.e. you are sending in guild dues for 3 months and it’s April. Then you should only put the following in the subject line: Guild Dues for April).
2) You are only required to type something here if you are doing any of the following:
a. Sending in more than one month of guild dues at a time. At that point the body of the e-mail should have the month and how much you are paying for that month…each part should be on its own line.
b. Are unable to pay the guild dues. At this point you should explain the reason as to why you can’t pay and what you would like to see happen for your guild dues for that month. (If you are unable to pay your dues for any month, I recommend you do it at least two weeks before the end of the month. The closer the end of the month gets the more it could just sound like an excuse. Please, remember that this is not to take the money away from you for any individual’s personal gain, but, rather, to help out the guild as a whole!)
3) Attach the desired amount (preferably in PP ONLY) to the message and send.
Guild Bank and Rules
Because DDO does not have any built-in system for guild banking (either funds or items), Vaulticus Maximus (Vaulticus for mail purposes) has been created for the sole purpose of acting as the guild bank. She is an alt of Umzadi.
You may send the items and/or money you wish to put in Vaulticus Maximus by either in-game e-mail (this will allow Umzadi to better track who has deposited what onto this character as when it’s received she will put the items and/or money amount into an Excel Worksheet before detaching the item(s)/money from the message that was sent) or by trading it directly to Vaulticus (to do this you should ask Umzadi [or one of her alts] to switch to the guild vault character and go to the Wayward Lobster Inn in the Harbor and trade the items directly to Vaulticus. Umzadi will still put the items/money amount into the Excel Worksheet).

These rules for the guild bank are to be adhered to by EVERYONE in the guild. If members DO NOT adhere to these rules then disciplinary actions WILL be taken. Below are the rules and the disciplinary actions to be taken.

Rules
1) All funds and items in Vaulticus Maximus' inventory and bank vault will be considered property of the Mystical Knights Guild.
2) No withdraws for repairs will be granted unless it is repairs from a guild event (including, but not limited to, raids, runs, or instances).
3) Deposit items/cash equal in value to items for withdrawing to keep the guild bank at even balance to it’s worth.
3) Requests for items to be withdrawn are approved only from the High Counselors, Advisors, Dragon Lord, and/or Overlord. If no one of these ranks is online, then send a message to someone in one of those ranks…or post your request on the guild forum in the appropriate section.
4) Items can only be taken out to be put on the Auction House by the Dragon Lord and above to create funds for the Guild.
Note: Failure to follow these rules can result in a demotion or termination from the guild depending on the severity of the infraction.

Disciplinary Actions
1) First Time Offenders – A verbal warning will be issued to the offender in a private discussion ONLY, depending on the severity of what the member did. This is to keep it between the Overlord and the offender.
2) Second Time Offenders – A verbal warning will be issued and a written warning will be put on the guild forum site, depending on the severity of what the member did. This is to alert ALL members as to what has happened and what steps have been taken thus far.
3) Third Time Offenders – A meeting will be held between the Overlord, Dragon Lord, Advisors, and High Counselors to discuss what should be done about the offender. A demotion will probably be issued. Termination from the guild can be a possibility if during the meeting someone recommends it due to the offense being a severe one and a majority vote is passed in the meeting. The results of the meeting will be put up on the guild forum so ALL members may see what has happened.
4) Fourth Time Offenders – Termination from the guild. No meeting required. Something will be put on the guild forum about the incidents leading up to the termination and why it was done.

Guild Home Office
The Home Office for the guild, where meetings will be held and etc. will be in the Phoenix Tavern in the Marketplace. For anyone that does not know where it is (due to not having taken their character there yet) can request that someone in the guild come get them from their current location to help them get to the meeting place. Even though Meetings are not mandatory does not mean you can miss all of them. Please, let Umzadi or Memmnon know if you will be unable to make a meeting so they know not to expect you. This is being requested as it is a sign of common courtesy to let them know if you are unable to make a meeting as what is discussed can (and probably will) affect your character(s) in the guild is some way.

Guild Forum Site
The following things will be posted on the guild forum site to help members out:
1) Ranks of members. This is so anyone that is in the rank of Officer knows what their official rank is within the guild.
2) Items that have been put onto Vaulticus Maximus and who donated it to the guild.
3) An updated account of how much money is on the guild vault character.
4) Notes that were taken during the guild meeting. (Special sections will be put up for the Officers, High Counselors, and Advisors.) These notes from the meeting(s) are not so people don’t have to participate in guild meetings, but, rather so that anyone who had a valid reason for missing can keep up with any changes that have been made to guild policies or promotions/demotions that may have been handed out.


Note from Overlord: I just want everyone to have fun and play the game. However, there are duties and responsibilities that come with the guild and I don’t want to see anyone slacking on them. I want everyone to develop their characters the way they wish to develop them, however, just remember that there are guild duties that must be done…and I expect everyone to do their duties when they are supposed to be done.
Everyone must help everyone else if we are to make this guild the best that I know it can be. We need to help each other, respect each other, and the property of others (either in the guild or out) if we are to be successful. Our name represents the Code of Honor that everyone should hold. We protect the innocent and bring justice where justice is due. Remember, we are the Mystical Knights!
